How this is calculated

  • Per-seat costs are multiplied by your headcount. Flat costs are taken as entered.
  • Onboarding and implementation fees are one-off, so they are added to year one only and shown separately.
  • Everything is compared before tax. Version X prices exclude VAT and so, generally, do competitors’ list prices.
  • Seeded figures are vendors’ own published list prices with the date they were verified. Everything else is what you entered.

Questions

What does a software stack cost for a company of ten people?

It depends entirely on which tools you run, which is why this calculator asks rather than assumes. The pattern worth knowing: a CRM, a support tool, a finance tool, a contracts tool and an HR tool each billing per seat, with at least one of them adding a mandatory one-off onboarding fee that never appears on its pricing page.

Why do you include onboarding fees separately?

Because they are real money and they are usually hidden. HubSpot requires an onboarding fee of $1,500 to $7,000 at Pro tier and above, billed once in year one and not shown on the pricing page. A year-one comparison that leaves it out is not a comparison.

Is my data sent anywhere?

No. The calculator runs entirely in your browser. Nothing is submitted, stored or logged, and there is no signup.

Where do the suggested prices come from?

The two suggested figures are the vendors’ own published list prices, verified against multiple independent sources in September 2026, and each shows its source on hover. Every other field starts empty because we would rather ask you than publish a number we cannot stand behind.
